As an integral IHI team member, the Operations Project Manager is responsible for working with a team to plan and successfully implement organizational operations and operations for our staff that deliver on projects and programs. This includes the day-to-day management of all operations. The Project Manager works closely with the operations team to support the efficiency and effectiveness of IHI's work internally and externally in service of improvement of health and health care outcomes worldwide.

Position Responsibilities:

  • Support building data models and conducting analysis; maintain data systems for the delivery office
  • Provide critical input and ideas into the operationalization of the delivery office
  • Support some scheduling for critical team meetings
  • Internal Resourcing: Oversee short-term resourcing allocation (manage day-to-day resourcing, assigning staff to open needs) and maintain a system of tracking current and upcoming needs (the internal resourcing list)
  • Work with Director, Operations to evaluate supply and demand on an ongoing basis and accurately predict future needs
  • Supervisor Support: Oversee day to day of delivery supervision structure (assignment, regular meetings, working with staff/supervisors on issues as needed)
  • Onboarding/Training and Development: Oversee the onboarding of new delivery staff members, working closely with HR
  • Work close with the COO and Vice Presidents to manage IHI's huddle system, tracking, managing, and ensuring follow-up for escalated issues
  • Support overall organizational processes, such as supporting operational planning, operations reviews, and strategic reviews
  • Design, develop, and drive program workplans for the operations team to achieve desired results
  • Manage the portfolio of improvement activities for the operations team including organization-wide activities and team activities
  • Develop and manage operations and delivery budgets to meet financial goals
  • Collaborate with internal stakeholders to manage and improve standard organizational processes
  • Proactively serve as the communication link between project teams (directors, faculty, improvement advisors, IHI staff), IHI Management, customers, and other IHI departments on progress, risks and mitigation strategies, and successes
  • Oversee knowledge and document management processes for operations, including connecting across the organization
  • Act as a "steward of improvement"' use quality improvement tools to continuously improve all processes
  • Facilitate internal and external (when appropriate) project meetings to meet desired outcomes
  • Effectively delegate to and develop project coordinators, interns, and other staff, serving as coach/mentor when appropriate

Position Qualifications:

  • Bachelor's degree required or equivalent
  • Three to five years previous work experience in a professional environment required
  • Prior project management experience preferred
  • Proficiency with Microsoft Word, Excel, PowerPoint required
  • Experience or knowledge of health care preferred.
