Position Responsibilities:

  • Support multiple executives in an extremely fast-paced environment
  • Comprehensive maintenance of daily schedule
  • Coordinate calls and meetings across several different time zones
  • Handle incoming phone calls and mail; minimize need for executives to respond to inquiries
  • Logistical arrangements related to travel, including visa/passport applications, checking executives into their flights, and creating detailed itineraries.
  • Production of presentation materials
  • Scheduling meetings and conference calls
  • Preparing expense reports via Concur
  • Formatting, editing, and proofing documents
  • Coordination of new projects and products
  • Maintain current bio and/or CV
  • Manage annual PDP process
  • Developing relationships with faculty, clients, etc.
  • General administrative help - filing, data entry, copying, etc.
  • General research: literature review, benchmarking products and services, interviewing customers, and synthesis into usable materials
  • Planning of meetings for visiting individuals or organizations including presentations, packets, and catering requirements
  • Coordination of major internal department meetings
  • Facilitate communication on behalf of executives during their absence/travel
  • Record notes during requested meetings
  • Timesheet keeping for main executive.
  • Tracks, maintains, distributes, and stores accurate (and sometimes confidential) records for executives.
  • Manage subscriptions and memberships for executives.

Position Knowledge, Skills, and Abilities:

  • Excellent communication skills - ability to communicate with senior-level people
  • Strong writing skills
  • Strong proof-reading skills
  • Self-starter, works well independently with little guidance
  • Ability to juggle and prioritize different projects, set priorities, etc.
  • Strong organizational skills
  • Strong interpersonal skills
  • Ability to accurately process detail-oriented work
  • Composure in high stress situations
  • Ability to work in teams; to learn; and to pitch in when necessary at all task levels

Position Qualifications:

  • Bachelor's degree preferred
  • Previous work experience in a professional environment required
  • Proficiency with office systems including Microsoft Word, Excel, Outlook, and PowerPoint required
  • Experience in, or knowledge of, health care preferred
